TERMS AND CONDITIONS

This document contains a summary of some of the Rental Conditions. For full detailed Conditions refer to the Conditions schedule in the Rental Agreement. Please note: We not only work with our own vehicles but also work on your behalve as a broker, These terms and conditions are only for the Vehicles Return Sydney, outher conditions apply for pick-up or Drop-off from other states, Please inquire! All prices quoted in this document are in Australian dollars. Rates and Conditions quoted in our brochures and/or documentation are subject to change without notice.

 

RENTAL DURATION

When calculating the number of days a vehicle is rented, the day of pick-up is counted as day one of the rental, regardless of pick-up time. The day of the vehicle’s return is counted as the final day of the rental. When a rental moves from one rate season into the next, the calculation is based on both rates.

  • Minimum rental period is 5 days.
  • Special rates are available for rentals of more than 35 days. Details available on application.
  • Late pick up or early return of vehicle does not entitle the hirer to any refund of the unused portion of the rental.

 

ONE-WAY RENTALS

One-way rentals are available between all branch locations, excluding one-way rentals between Tasmania and the mainland. Please enquire if there is a One-way rental fee.

RENTALS IN TASMANIA

Due to the size of our operation a limited vehicle range will be available for rentals in Tasmania. ACRC reserves the right to substitute an alternative vehicle without prior notification and at no extra cost. This shall not constitute a breach of contract and does not entitle the hirer to a refund.

 

FOR YOUR PROTECTION

Personal Injury is covered in most cases through Registration Third Party Insurance. ACRC strongly recommends that all clients take out Personal Injury Travel Insurance. All vehicles are insured for the damage to the vehicle or to the property of a Third Party. The hirer is responsible for the first $1,000 (‘the excess”) of the cost of damage to Third Party property or to the rented vehicle, including single vehicle accident, windscreen and tyre damage, overhead and underbody damage, towing and recovery costs, theft, fire or break-in. This also includes the cost of the daily rental for the period the vehicle is off fleet for accident repairs (demurrage). The excess applies in respect of each claim, not rental.

The excess is applicable regardless of who is at fault and must be paid at the time the accident report is completed, not at the completion of the rental. The excess will be refunded if we are successful in recovering the cost of the damages from the Third Party. Please note that Third Party Claims can take months or even years to resolve. ACRC cannot force the destiny of these claims, it is up to our Insurance Company and the Third Party, may they be insured or not.

This $1,000 excess can be reduced, in most circumstances, by the purchase of Excess Reduction Option 1

With Excess Reduction Option 1 the hirer is responsible for the first $250 ($500 4WD) of ANY ACCIDENT COST of damage to Third Party property or to the rented vehicle, including single vehicle accident, windscreen and tyre damage, overhead and underbody damage, towing and recovery costs, theft, fire or break in. This also includes the cost of the daily rental rate for the period the vehicle is off fleet for accident repairs (demurrage). The excess applies in respect of each claim, not rental.

 

EXCLUSIONS

  1. Standard Excess and Excess Reduction Option 1 do not cover any damage caused by water submersion or salt water damage.
  2. Personal belongings are not covered. We recommend the hirer does not leave valuables in the vehicle and that they take out personal insurance.
  3. All Excess Reduction is void if the terms of the Rental Agreement are breached. The hirer will be responsible for the total cost of any damage. This will also include any damage caused by wilful conduct (e.g. sitting or standing on the bonnet or roof of the vehicle) and driving under the influence of alcohol or drugs.
  4. Standard Excess, Excess Reduction Option 1 do not cover the incorrect use of fuel (fuel being diesel or petrol). The hirer will be responsible for any associated cost.
  5. The Hirer will be responsible for the cost to retrieve or recover a vehicle, which has become bogged, regardless of the Excess Reduction Package taken.
  6. The hirer will be responsible for the cost to replace keys, which have become lost, or retrieval of keys, which have been locked in a vehicle.

 

 

VEHICLE SECURITY DEPOSIT

On pick up of the vehicle, a Vehicle Security Deposit is payable. The amount is determined by the Protection Package selected (refer to the FOR YOUR PROTECTION” section). If you do not take Excess Reduction Option 1 the Security Deposit is AU$1,000 payable by cash, Traveller’s Cheques, or credit cards. Should the Deposit be paid by credit card, the amount will be debited to your account immediately. If Excess Reduction Option 1 has been taken the Security Deposit is AU$250 (4WD $500) payable by cash, Traveller’s Cheques or credit card. If paid by credit card, authorisation will be gained for the AU$250 (4WD $500) Security Deposit. The Security Deposit is fully refundable provided the vehicle is returned on time, undamaged, with a clean interior and with full fuel tanks (Fuel being petrol, diesel and LPG gas). We reserve the right to retain a $120 soiling fee if the vehicle is not returned with the interior in a clean condition and 4 wheel drive vehicles free of mud. The toilet and waste water tank (if applicable) must be emptied prior to the return of the vehicle, or an additional $120 soiling fee will be retained. Failure to return the vehicle with full petrol or diesel tanks will result in refill charges. Petrol and diesel charges will be advised upon return of the vehicle. In the instance of Excess Reduction Option 1 the credit card voucher will be returned to the hirer.

 

INFRINGEMENTS

We reserve the right to charge the hirer for any speeding, parking or toll way fines, associated administration costs and/or accidents including third party property damage not reported on return of the vehicle. The administration fee per fine will be $45.

 

CREDIT CARDS

If a credit card is presented as payment, the credit card holder will be jointly and severally liable as a customer. The following credit cards will be accepted: Bankcard, Visa Card, MasterCard and American Express.

 

LICENCE

A full resident country drivers licence, held for a least one year, is to be presented at the time of rental. If the licence is not in English format, an international drivers licence is also required.

 

AGE RESTRICTIONS

Drivers must be 21 years of age or over. A medical certificate stating that the customer is fit to drive the vehicle they have booked for the duration of the hire is required for drivers over the age of 75

 

MULTIPLE RENTALS

Should a hirer have more than one rental (multiple rentals) then these rentals can be combined to qualify the hirer for our long term rate. Campervan and car rentals in Australia and New Zealand, can be combined to qualify if travel is within a 3-month period.e.g. One 14 day rental plus one 7 day rental qualifies for the 21 day rate. For pick ups and drop offs on the same day, the daily rental charge for the last day of the 1st rental will be charged, and the daily charge for first day of the subsequent rental will not be charged. The One Way Fee (if applicable) and charges for additional hire equipment (tables, chairs, baby seats) will be charged per vehicle rented.

 

LIVING EQUIPMENT

The Living Equipment (crockery, cutlery, cooking utensils, linen, sleeping bags, pillows and towels) for all Campervans/Motorhomes is included in the daily rental rate at no extra cost.

 

RENTAL EXTENSION

If the hirer wishes to extend the rental whilst on hire, they must first obtain authorisation from the destination branch. This is subject to availability. The extra cost of an extended rental must be paid by credit card over the telephone on confirmation of the rental extension. Failure to obtain authorisation will result in a fee of $500 in addition to the daily rate. ACRC allows a grace period of 24 hours before the hirer is liable for the late return fee.

 

ROAD RESTRICTIONS

  • 2 Wheel Drive vehicles can only be driven on sealed/bitumen roads. Remote area travel is at clients risk and special conditions apply. Please inquire!
  • 4 Wheel Drive Vehicles can be driven on unsealed recognised tracks but may only travel to the following areas with the express written permission of ACRC: Any Islands, Tasmania, Simpson Desert, Strzelecki Track, Gunbarrel Highway, Cape York (North of Daintree River), Oodnadatta Track, Birdsville Track, Tanami Track, Gibb River Road, Warburton Road and any other remote area. Vehicles are not permitted on the Canning Stock-route, the Lost City in Litchfield Park and the Telegraph Road section of the road to Cape York. Remote area travel is at clients risk and special conditions apply. Please inquire!


ACRC reserves the right at its sole discretion to restrict vehicle movements in certain areas due to adverse road or weather conditions, and the distance to nominated destinations in relation to the length of the hire period.

 

ON-ROAD ASSISTANCE

Any problems associated with the vehicle, including equipment failure, must be reported to ACRC as soon as possible, and within 24 hours in order to give ACRC the opportunity to rectify the problem during the rental. Failure to do so will compromise any claims for compensation. We do not accept liability for any claims submitted after this period. Please contact us on: 02 9905 2516. Repairs up to $50 may be affected without authorisation and will be reimbursed. For amounts over $50, ACRC will need to be informed in advance. Repairs will be approved provided the hirer was not directly responsible for the damage. Receipts must be submitted for any repair or the claim will not be paid.

 

CHANGE OF VEHICLE

Should the vehicle booked be unavailable through unforeseen circumstances, ACRC reserve the right to substitute an alternative vehicle without prior notification and at no extra cost. This shall not constitute a breach of contract and does not entitle the hirer to a refund.

 

VOLUNTARY DOWNGRADE

Should the hirer decide to take a smaller vehicle than booked they will not be entitled to any refund.

 

CANCELLATION FEE

The cancellation fees are:

  • If cancelled 25 days prior to pick-up $50 fee
  • If cancelled from 24 to 7 days prior to pick-up 20% of Rental (Minimum $200)
  • If cancelled 7 days prior pick-up 50% of Rental
  • If cancelled on the day of pick up or no show – 100% of Rental
  • If vehicle is returned early for any reason whatsoever No refund available

 

IMPORTANT

ACRC reserves the right to refuse any rental at its discretion.

PERSONAL AND COMPANY CHEQUES

Personal and Company cheques will not be accepted as payment for rentals at the time of pick-up. These must be paid to ACRC 14 days prior to commencement of rentals. Personal or Company cheques are not acceptable as the vehicle security deposit.

 

DISCLAIMER

Illustrations and text in any of our brochures or website are a representation only of the vehicle depicted. Variances in the vehicles offered for rental may occur due to substitutions made by ACRC or modifications and/or upgrades to the vehicle design made by the manufacturer.

  • Minimum rental period is 1 day for 2WD rental cars, 5 days for 4WD rental cars.
  • Minimum rental period for one way rentals, for 2WD and 4WD rental cars as outlined below.
  • Special rates may be available for rentals of more than 30 days. Details available on application.
  • Early return of vehicle does not entitle the hirer to any refund of the unused portion of the rental.

 

ONE-WAY RENTALS

One-way rentals are available between our branches, excluding one-way rentals between Tasmania and the mainland. The following one way fees and minimum rental periods will apply: One way rentals with: Pick up and drop off in Adelaide, Brisbane, Cairns, Melbourne, Sydney No one-way fee/7 day minimum rental period.
Pick up and drop-off in Hobart, Launceston, Devonport No one-way fee/3 day minimum rental period.
Pick up or drop off in NT (Alice Springs, Darwin)and WA (Perth, Broome)One way fee AU$200/10 days minimum rental period

 

BRANCH HOURS FOR PICK-UP AND DROP-OFF

Adelaide, Alice Springs, Brisbane, Broome, Cairns, Hobart, Darwin, Devonport, Launceston, Melbourne, Perth, Sydney. Daily from 0800 to 1700, 364 days per year.

If the hirer wishes to change the drop off destination after the Rental has commenced, authorisation from the destination branch must be first obtained. Subject to the change being approved, an additional charge of up to AU$700 may apply.

 

RENTAL EXTENSION

If the hirer wishes to extend the rental whilst on hire, they must first obtain authorisation from the destination branch. This is subject to availability. The extra cost of an extended rental must be paid by credit card over the telephone on confirmation of the rental extension. Failure to obtain authorisation will result in a fee of AU$500 in addition to the daily rate.
